Permits

Permits

Before Compass Freeze (until 6 November) 

  • All processes continue as normal. Where possible any permits which need granting or renewing before Go-Live should be fully recorded by 6 November. 

During Compass Freeze (from 7 November) 

Issuing Permits 

  • Permit assessments may continue as usual. 
  • Information on criminal record checks, first aid and training compliance used as part of this will be made available through the local data report provided by HQ. 
  • Any permits which are issued need to be confirmed in writing (via email) to the member by the District or County/Area/Region Lead Volunteer (Commissioner), including at the very least: 
    • Name of Permit Holder
    • Name of Permit
    • Details of any restrictions
    • Name of Assessor
    • Name of Approver
    • Date of issue
    • Date of expiry 

This may be used as evidence of the permit until it is recorded through the new permit process.

Revoking Permits 

  • If any permits are revoked while Compass is offline, the Lead Volunteer must notify UKHQ through this form [Link to be added on 1 Nov]. These will be recorded centrally by the UKHQ Safety Team. 

From Go-Live (From 21 November for Early Adopters and from 28 November for everyone else) 

  • Permits must be applied for and managed through the new digital system.
  • Any permits which were issued while Compass was offline must be applied for by the permit holder through the new digital system and then processed by the Assessor and Lead Volunteer/Permit Approver.
  • The Lead Volunteer who issued the permit must record the actual date the permit was issued and set the expiry date as appropriate to this.
  • Any permits which were revoked while Compass was offline must be revoked through the digital system by the Lead Volunteer no later than 12 December, with the date the permit was revoked recorded in the notes.
