First steps checklist: County Leadership Teams
What County Leadership Teams need to do when first using the system
Please complete the actions listed in order when you start to use the new system. If you are in Early Adopter Counties/ Areas/ Regions, by 23 November 2024, if in All Other Counties/ Areas/ Regions, by 30 November 2024.
This will allow you and your teams to see and do the things you need to volunteer.
Who can complete this list
If the County Lead Volunteer is unavailable the Regional Lead Volunteer can carry out these actions on their behalf. They can also invite someone in the County Leadership Team to carry out some of these actions, although please note that they will not be able to give any accreditations to volunteers.
If inviting members of the County Team to access the new system early to help you prepare, you can include the following list with the instructions you share.
1. Access the system and set up your profile
- Follow the steps as outlined on the all members’ checklist.
2. Set up your Teams
- Set up your team structure: this includes adding any relevant sub-teams to your Leadership Team
- Add volunteers to your Leadership Team and sub-teams as needed.
- County Leadership Team / Team Leaders add volunteers to the relevant teams, including creating sub-teams if necessary.
- Make sure all members in Holding roles have roles added in the relevant teams as soon as possible.
- County Lead Volunteers, be sure to close any Holding roles within your County once volunteers have been allocated to their team(s). Alternatively, you can ask Support Centre to close Holding roles at County and District level once you’ve confirmed all members are in appropriate teams.
- Check your Trustee Board and its members have migrated as expected and update as needed.
Actions once Teams are set up and everyone has access
- Give the ‘Recruiter’ accreditation to each District Lead Volunteer.
- Give the ‘Go-Live Supporter’ accreditation to each Go-Live Support Team Member.
- Make sure County Team members have required accreditations.
Note: Only volunteers who hold a full role in the system can be given an accreditation. To hold a full role on the system, volunteers need to have accessed the new system and reviewed and accepted the Declaration. Volunteers who haven’t done this will not be able to be given an accreditation.
- Record any actions carried out since Compass went offline, such as the granting of permits, on the new system.
Using the new system
- Support Districts to complete their checklist actions.
- Encourage your team to complete the all members’ checklist, including the ‘additional individual actions’ where necessary.
- Be aware of any learning that needs to be completed and support volunteers to do it.
- Create adverts on Volunteering Opportunities for roles available in your patch.
