Manage volunteer enquiries

A guide on how to find a volunteering opportunity, create a volunteering opportunity, manage volunteer enquiries and manage expression of interest

Tasks for all volunteers

Find a volunteering opportunity

Start by accessing scouts.org.uk. 

On the navigation bar: 

1.Click 'Join Scouts' then click 'Volunteer'.

On the 'Volunteer with Scouts' page: 

2. Click ‘Find a volunteering opportunity’. 

On the 'Find a volunteering opportunity' page, in the 'Location' box: 

3. Type your location or postcode. 

Under ‘Choose distance’: 

4. Select a distance from the drop-down menu. 

Under ‘Availability’: 

5. Tick the box(es) with the days of the week you’re available. 

6. Tick the box(es) with the time of day you’d like to volunteer. 

Under ‘Select the groups you’d be interested in volunteering with’: 

7. Tick the box(es) with your group preferences. 

8. Click ‘Search’ at the bottom of the page. 

On the 'Available opportunities' page:   

If you’ve found a volunteering opportunity that you’re interested in: 

9. Click ‘View Vacancy Details’ to read more information. 

If you haven’t found a volunteering opportunity that you’re interested in, at the bottom of the page, under ‘Expression of Interest’, click ‘Register your interest’ and follow steps 9 to 11. 

On the ‘Vacancy details’ page: 

10. Click ‘Register my interest’. 

11. Type your personal information into each text box. 

12. Click ‘Submit’ at the bottom of the page. 


Tasks for Team Leaders, Lead Volunteers and Chairs

Create a volunteering opportunity

Start by signing in to scouts.org.uk. 

On your welcome page: 

1. Click ‘Recruit volunteers’. 

On the ‘Manage Opportunities’ page, at the top right (if you’re using a phone, click the menu button on the top right): 

2. Click ‘Create opportunity’. 

On the ‘Create Opportunities’ page: 

3. Select a template from the drop-down menu. 

If you need to edit the ‘Opportunity title’, ‘Opportunity short description’ and ‘Opportunity long description’, type your descriptions into the text boxes. 

If you need to edit the ‘Opportunity default image’, click ‘Browse’, select an image from your device and click ‘Open’. 

4. Tick the box(es) with the days of the week and the time of the day the opportunity is available on. 

5. Tick the ‘Volunteering preferences’ box(es) for the opportunity. 

6. Tick the ‘Your interests’ box(es) for the opportunity. 

7. Select a team from the ‘Recruiting to’ drop-down menu. 

8. Type the opportunity’s postcode into the text box.

9. Click ‘Preview’, or 'Save as draft'. You can return to your draft within six months. 

If you saved the opportunity as a draft, a message will appear at the bottom of the page confirming that you've successfully created an opportunity.  

You’ll find your saved volunteer opportunity by clicking 'Manage opportunities' on the top of the page (if you’re using a phone, click the menu button on the top right). Click the volunteer opportunity under ‘Your volunteer vacancies' to edit it. 

On the ‘Opportunity preview’ page: 

10. Click ‘Publish’, or ‘Edit opportunity’ to correct any information. 

If you clicked ‘Edit opportunity’, make any changes then repeat steps 9 and 10. 

A message will appear at the bottom of the page confirming that you've successfully created or updated the opportunity.

 

Manage volunteer enquiries 

Start by signing in to scouts.org.uk.

On your welcome page: 

1. Click ‘My membership’. 

On the left-hand side menu (if you’re using a phone, click the menu button on the top right):

2. Click ‘Volunteer enquiries’.

3. Under ‘Volunteer enquiries’, click ‘Volunteer enquiries’. 

On the ‘Volunteer enquiries’ page, under ‘Enquiries’: 

4. Click the volunteer’s name. 

On the 'Volunteer’s enquiry' page: 

5. Select ‘Current status’ from the drop-down menu and click ‘Save status’.

6. Type any notes into the text box and click ‘Add comment’.  

If you want to send an invitation to join Scouts, click ‘Send invite’. On the ‘Review invitation email’ page, click ‘Send invite’.  

If you want to close the enquiry, click ‘Reject’ to delete it or ‘Withdraw’ if the enquirer is no longer interested. 

If you want to assign the enquiry to a specific Team Member, type the Team Member’s name into the search box, select it from the list and click ‘Assign’.  

If you want to send an enquiry to another unit, type the unit’s name into the search box, select it from the list and click ‘Send to another unit’.


Manage expression of interest

Start by signing in to scouts.org.uk.

On your welcome page: 

1. Click ‘My membership’. 

On the left-hand side menu (if you’re using a phone, click the menu button on the top right):

2. Click ‘Volunteer enquiries’.  

3. Under ‘Volunteer enquiries’, click ‘Volunteer enquiries’. 

On the ‘Volunteer enquiries’ page, under ‘Generic expression of interest’: 

4. Click the volunteer’s name. 

On the 'Volunteer’s enquiry' page: 

5. Select ‘Current status’ from the drop-down menu and click ‘Save status’. 

6. Type any notes into the text box and click ‘Add comment’. 

If you want to send an invitation to join Scouts, click ‘Send invite’. On the ‘Review invitation email’ page, click ‘Send invite’.  

If you want to close the enquiry, click ‘Reject’ to delete it or ‘Withdraw’ if the enquirer is no longer interested. 

If you want to assign the enquiry to a specific Team Member, type the Team Member’s name into the search box, select it from the list and click ‘Assign’.  

If you want to send an enquiry to another unit, type the unit’s name into the search box, select it from the list and click ‘Send to another unit’.
