Saturday 19 October from 10.00am – Sunday 20 October at 1.00pm
There’s no formal programme on Friday night, but to allow for a prompt start on Saturday morning attendees are welcome to camp on site with arrivals from 7pm. You will be camping in your Pods throughout the weekend, so this is a great chance to set up and get to know your Pod.
IST and CMT attendees must have a valid Scout DBS and have completed both Safety and Safeguarding training modules. You can complete these two training modules using this link. If these modules have not been completed prior to the event then you will have to complete them at the check-in desk before being admitted to site.
Participants are not required to have this training or a DBS as they attend in a Network role capacity.
All those attending who are aged under 18 for the event will receive a Permission to camp form via email. This needs to be completed by their parents/guardian/carer as part of our safety and safeguarding procedures.
Please follow the instructions in the email and upload your signed form using this form by no later than 17 October 2024 at 23:59. These forms are mandatory and must be received back via the Smartsheet form for you to take part in the event. Without the form being received, you will be unable to take part.

Under 18’s will camp in a separate area of the campsite and a member of the UK Contingent Management Team will be responsible for their welfare. We do however encourage under 18’s and all members of the contingent to spend time with their pods throughout the weekend, including for meals and socialising.
Newark Northgate and Newark Castle are the nearest train stations.
Parking is available but public transport or car sharing is encouraged. Cars are not allowed onto the camping areas, so please be mindful when packing your car – you will be responsible for carrying your own kit to your campsite.
If you are driving to Newark Showground, the What3Words for the site entrance is tastier.fooling.unionists and the entrance gate is in front of you.
For those who are traveling by car and parking on site, please complete the quick form below to register your vehicle in advance of the event.
Check-in is open from 7.00pm - 10.00pm for those arriving on Friday and from 8.00am – 9.30am for those arriving on Saturday.
On arrival, please head to the Cedric Ford Pavilion foyer to check in. You will be given an event wristband which you must wear all weekend, your UK Contingent T-Shirt and x2 UK Contingent Neckers.

We will be camping in October in the UK, so please dress appropriately and bring enough clothes for you to be warm, dry and comfortable all weekend.
This event will be self-catered and all attendees must organise their own food and drink provisions. You might decide to cook in your Pod, which might involve a couple of members bringing the cooking equipment, another couple purchasing the food and so on.
This is a dry–site event, meaning strictly no alcohol is allowed. The Scouts Green Card should be followed and members will be challenged if there is alcohol brought.
There will be a varied programme running from Saturday morning at 10.00am until Sunday at 1.00pm. The programme will be a mixture of information, workshops, market stalls, and activities all designed to help you prepare for Portugal.

We will have suitable first aid provision on site, and this will deal with major incidents. Small incidents should be dealt with within your Pod.

This is a Scout event just like any other camp or event you may attend. It goes without saying, but we expect all attendees to behave in an appropriate manner, always keeping our Scout values in mind and following the guidance of the Yellow Card (for over 18) or the Orange Card (for under 18).

We will be using a mobile app for the event which will be a handy place to find useful information across the weekend. Instructions to download the app will be shared before the event.
